This Privacy Notice explains how personal data is processed when you access and use the Dyninno Candidate Portal (“Portal”). 

It supplements the Dyninno Candidate Privacy Notice relevant to your application, which separately explains how personal data is processed for recruitment and selection purposes by Dyninno group companies. 

  1. Who is responsible for processing? 

The data controller is the Dyninno group company that is recruiting for the position you apply for (“Recruiting Entity”).
The identity and contact details of the Recruiting Entity are provided in the relevant job posting and/or recruitment communication.
Each Recruiting Entity determines the purposes and means of processing personal data within the Portal. 

  1. What data is processed through the Portal

When you use the Portal, the following categories of data may be processed: 

  1. Account and identification data: name, email address, login credentials 
  2. Application-related data: information and documents you upload, including CVs and supporting materials 
  3. Communication data: messages and interaction history within the Portal 
  4. Technical and usage data: IP address, device and browser information, log files, timestamps, and security-related records 

Further details about recruitment-related data categories are described in the separate Candidate Privacy Notice relevant to your application. 

  1. Purposes of Portal processing

Personal data is processed through the Portal in order to: 

  • enable secure registration, authentication, and account management 
  • allow submission, management, and tracking of applications 
  • support communication within the recruitment process 
  • maintain system security, integrity, and availability 
  • prevent misuse, fraud, and unauthorized access 
  • where you have not objected, retain your profile for consideration for future vacancies within the Dyninno group. 
  1. Legal basis

Portal-related processing is based on: 

  1. Performance of steps prior to entering into a contract (Art. 6(1)(b) GDPR) – enabling you to submit and manage applications 
  2. Legitimate interests (Art. 6(1)(f) GDPR) – operating the Portal, ensuring IT security, improving recruitment processes, and retaining candidate profiles for future vacancies where no objection has been raised 
  3. Legal obligations (Art. 6(1)(c) GDPR) – where security logging or system controls are legally required 
  4. Consent (Art. 6(1)(a) GDPR) – where specifically requested (e.g., optional features or explicit talent pool consent, if applicable), which can be withdrawn by You at any time, free of charge, without any justification.   
  1. Access to data

Access to Portal data is restricted to: 

  • authorized personnel of Dyninno group companies for administrative purposes 
  • authorized support staff responsible for system maintenance and security purposes 

Access is granted strictly on a need-to-know basis and subject to confidentiality obligations. 

  1. International access and hosting

Where Portal infrastructure or authorized access involves countries outside your country of residence or the European Economic Area, appropriate safeguards are applied in accordance with applicable data protection laws, such as adequacy decisions and/or standard contractual clauses. 

Information about applicable safeguards may be requested. 

  1. Data retention

Personal data processed via the Portal is retained only as long as necessary to: 

  • manage applications and recruitment processes, 
  • consider candidates for future vacancies where no objection has been made, and 
  • comply with legal, regulatory, and security requirements. 

Specific retention periods and criteria are described in the Candidate Privacy Notice relevant to your application. 

  1. Security

Appropriate technical and organizational measures are applied to protect Portal data, including access controls, authentication mechanisms, logging, monitoring, and security testing. 

  1. Your rights

Your rights in relation to personal data processed through the Portal (including access, rectification, erasure, restriction, objection, portability, and complaint rights) are described in the Candidate Privacy Notice relevant to your application. 

You may object at any time to the storage of your profile for future vacancies.
